What are Trust Fund Positions?

Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. OverviewThis position is located in the Office of the Registrar, Collections Department, Research Collections and Curatorial Affairs Directorate, National Air and Space Museum (NASM), Smithsonian Institution, which is responsible for the safeguarding and proper documentation of all artifacts within NASM's custody, whether from the NASM permanent collection or on loan from other institutions.

The purpose of this position is to assist the Supervisory Registrar with tasks related to collections tracking and documentation as part of a team specifically tasked with handling, packing, storing, shipping, maintaining, and preserving artifacts from the National Collection. The incumbent reports to and works under the general supervision of the Supervisory Registrar and serves both as a skilled member of the unit and on project teams as the primary representative of the Office of the Registrar. Project teams are comprised of museum technicians/specialists of varying grades and may include contracted support, interns and volunteers The Office of the Registrar has overall responsibility for artifact records within NASM collections information system, TMS.

Duties And Responsibilities

  • Serve as a representative of the Office of the Registrar on work team of museum technicians, specialists and/or contractors that are responsible for the packing, handling, moving, transporting, storing, and monitoring of artifacts in support of reinstallation of several major exhibits at the NASM National Mall Building.
  • Provide technical support and assistance on the proper use of TMS in support of the movement and reinstallation effort.
  • Collaborate with Collections Department staff on best practices for capturing and managing digital descriptive data and photographic documentation and assist Collections Department staff in completion of related documentation tasks.
  • Assist with the development numbering and tracking processes that take into account the storage, shipping, and transportation concerns of various types of complex artifacts.
  • Provide technical support and assistance on the NASM barcode tracking system which utilizes the TMS plug-in, Barcode Manager, and specialized barcode scanning hardware and software.
  • Support the planning phases of projects to inform the development of the sequence of work in order to ensure timely accomplishment of projected workload and identify and communicate to the team members any registrarial issues that may impact assigned projects.

Qualification RequirementsExperience required for this position is as follows:

  • Knowledge of special techniques used in processing and digitizing data related to the collections and disciplines.
  • Ability to order equipment and supplies and track the orders; Ability to organize information and processes.
  • Knowledge of The Museum System (TMS) or similar database software to generate and maintain collection-based reports and records.
  • Knowledge of basic preservation procedures and policies, including gallery inspections to monitor the condition of artworks.
  • Technical experience
